Data privacy in online assessment refers to the responsible handling of the personal information that testing systems collect, such as identity documents, webcam footage, and behavioral data. It covers how this data is gathered, stored, used, and deleted, ensuring candidates' rights are protected and that monitoring complies with applicable regulations.

Online assessment, especially when proctored, gathers a great deal of personal information. Identity documents, facial images, webcam and audio recordings, and records of on-screen activity are all sensitive, and candidates entrust them to the testing provider with the expectation that they will be protected. Data privacy is the discipline of meeting that expectation responsibly.

Good practice starts with collecting only what is necessary for the stated purpose and being transparent about it. Candidates should understand what is captured, why, how long it will be kept, and who can see it. Limiting access to verified staff with a genuine need, encrypting stored data, and deleting it once a defined retention period ends are all standard safeguards.

Regulation shapes much of this work. Frameworks such as the General Data Protection Regulation in Europe and student-record protections in other regions set rules for consent, access, and the handling of personal and educational data. Testing providers must align their practices with the laws that apply to their candidates, which can vary considerably across countries and sectors.

Privacy also involves design choices. Processing data on a candidate's own device where possible, minimizing how much raw footage is transmitted or stored, and giving candidates clear information all reduce risk. These measures help reconcile the legitimate need to secure an exam with the equally legitimate right of candidates to control their personal information.

Within the wider field of exam security, data privacy is not a constraint to work around but a condition of doing the work well. Strong proctoring and identity verification depend on trust, and that trust rests on candidates' confidence that their data is handled lawfully, securely, and only for the purpose they agreed to. As scrutiny of remote monitoring grows, institutions that treat privacy as a core design principle rather than an afterthought are better placed to maintain that confidence over time.
