Definition

A proctoring system is the complete set of tools, processes, and people that together supervise online exams. It encompasses the monitoring software, the identity verification steps, the environment and browser controls, and the human review workflows that combine to confirm a test is taken honestly, under fair conditions, and by the correctly registered candidate rather than an impostor.

A proctoring system is broader than any single piece of software. It refers to the whole arrangement an organization puts in place to supervise remote assessments, including the technology that watches each session, the procedures candidates follow, and the people who review results and make decisions. Thinking in terms of a system emphasizes that secure testing depends on how these parts work together, not on one feature alone.

At the technology level, the system captures and analyzes video, audio, and screen activity, and may include a secured browser that limits what a candidate can do during the test. At the process level, it defines how identity is verified, what candidates must do to prepare their space, and how flagged events are handled. At the human level, it determines who reviews sessions, how judgments are made, and how candidates can raise concerns or appeal an outcome.

The advantage of a coordinated system is layered protection. Identity verification confirms the right person is present, environment and browser controls reduce the opportunity to cheat, behavior monitoring captures what happens during the test, and human review provides judgment. Each layer covers gaps that the others might leave, so the overall result is more trustworthy than any one component on its own.

Designing a sound proctoring system also means attending to fairness and privacy. The system should handle personal data responsibly, accommodate accessibility needs and different testing conditions, and keep a person involved in consequential decisions. Clear communication with candidates about how the system works builds trust and reduces avoidable disputes.
